Run a waitlist

Updated Nov 7, 2026

How it works

When a customer can't find a time on your booking page, they can join your waitlist for a service, a range of days and the part of the day that suits them. You can add people yourself too, from the dashboard (Operations, Waitlist) or the app (the clock button on Calendar). Everyone who joins gets an email saying they are on the list, and your bell shows the request.

When a booking is cancelled, declined, moved, or an unpaid hold expires, that opening is offered to the waitlist by your rule. The customer gets an email, and a text if they opted in, with a link that books the time in one step. Nothing is booked for them: they always confirm.

Your rule

In Settings, Booking policy, Waitlist:

  • First in line. The person who joined first is offered the opening and has the response window (two hours by default) to book it. Then it goes to the next person.
  • Everyone at once. Everyone the opening suits is offered it, and the first to book gets it.

Openings inside your lead time are never offered, and one person hears about at most three openings a day.

Working the list

  • Book opens the appointment form with the customer, service, teammate and first day filled in. Creating the appointment takes them off the list.
  • Offer a time sends the same offer for any free time you pick.
  • Remove ends the entry.

A customer who books on their own after joining comes off the list for that day too. Entries expire when their last day passes.
